For private healthcare practices

Fill the appointments your practice is already losing

Most practices lose patients in the gaps rather than in the consult room. The call nobody answered, the enquiry that sat over a weekend, the patient who finished treatment and was never contacted again.

We install a system that closes those gaps, run it for you, and keep everything it publishes inside the advertising rules.

See the system running

Six moments, in the order they happen for a patient. Step through them.

The patients you are losing were never your patients to lose

  1. SearchNot on the map. Gone before you knew.
  2. The siteCannot tell if you treat it. Back to the list.
  3. 4:40 ThursdayRings out. Another clinic answered.
  4. SaturdayA form that sits until Monday.
  5. 18 monthsFinished treatment. Never contacted.

It starts before the phone rings. Someone types your treatment and your suburb into Google. Three clinics come up on the map. You are not one of them, so the appointment is gone before you knew it existed.

Say you are on the map. She taps through to your website, cannot work out whether you treat what she has or whether you are taking new patients, and goes back to the list.

Say the site is fine. She rings at 4:40 on a Thursday. Your front desk is with a patient, on another line, or already gone for the day. By the time someone calls back tomorrow, she has rung two other clinics and one of them answered.

It happens again on Saturday with a form that sits until Monday. And it happens with the patient who finished a course of treatment eighteen months ago and never came back, because nobody reached out.

None of that is about your clinical standard. The practice filling those appointments is not treating patients better. It is easier to find and faster to answer. That is a system, and it is the part we install.

Why the practice that answers first fills the book

They have already compared you.

Most patients arrive at your website having looked at two or three other clinics on the same phone, in the same sitting. You are being chosen before anyone speaks to them.

The first clinic to reply usually gets the appointment.

Not the best one, not the closest one. The one that answered while they still had the phone in their hand.

Under60seconds

Under 60 seconds is how fast the system replies to a missed call or an after-hours enquiry. Every one, logged in your dashboard.

Marketing that will not have to come down later

Most agencies will happily build a clinic a patient testimonial page, a before and after gallery, or an ad that names the medicine you prescribe. All three are prohibited in advertising a regulated health service, and it is your registration on the line, not the agency's.

Everything we publish is reviewed against AHPRA and TGA advertising requirements before it goes live, and again when the rules change. If you ask for something that cannot be published, we tell you before we build it rather than after a complaint.

How we handle compliance

The Patient Engine

We install a patient engine in your practice

We call it the Patient Engine. The system that gets your clinic found, turns the visit into an enquiry, answers when your front desk cannot, and follows up until the appointment books. The fundamentals a private practice needs to grow, without the extras you do not need yet.

Each part is useful on its own. Connected, they are the reason the appointment book fills while you are in a consult room.

01

Google-ready pages

Found by the patient searching for your treatment in your area right now.

  • Treatment and location pages built the way Google likes them.
  • Titles, headings and speed sorted from day one.
  • Your Google Business Profile set up and connected to the site.

02

Your clinic website

A site that turns a cautious patient into a booked consult.

  • A page for each treatment and each location, so a patient knows quickly that you treat what they have and that you are taking bookings.
  • Click-to-call, online booking and a short enquiry form on every page.
  • Fast on mobile, because that is where patients are looking.
  • Written to inform rather than to sell, and checked against AHPRA and TGA advertising rules before it goes live.
  • Yours to keep. The domain, the design, the words.

03

Missed call text back

The call your front desk could not take still becomes an appointment.

  • Miss a call, and within 60 seconds they get a reply asking what they need and offering a time.
  • Works at lunch, after hours, and on the days reception is one person short.
  • Every message logged in your dashboard, so you can check it happened.

See it live

04

New patient chat

Common questions answered on the spot, at eleven at night.

  • A chat on your site that answers fees, availability, referral requirements, parking and what to bring.
  • Takes the patient's details and offers a time instead of asking them to ring in the morning.
  • Anything clinical goes to your team, not to the chat. It books appointments, it does not give advice.

05

Follow-up that runs itself

No enquiry goes cold because reception was busy.

  • Calls, forms, chats, texts and Facebook messages land in one inbox.
  • Follow-ups go out automatically at the right times, until the patient books or says no.
  • Enquired but never booked? They get a reminder. Booked but never showed? So do they.

06

Review engine

More reviews on your Google listing, without the risk.

  • After an appointment a text goes out with a one-tap link. It asks about the experience of visiting your clinic, never about treatment, because outcome testimonials are prohibited in advertising.
  • Unhappy patients reach your practice manager first, not your listing.
  • Review volume and freshness is what moves your ranking, so that is where the work goes.

07

Recall and reactivation campaigns

The fastest appointments to fill are the ones already on your patient list.

  • Recall campaigns for patients due back, and reactivation campaigns for the ones who have not been in for a year or more.
  • Written as reminders and information rather than promotions, and compliance checked before they send.
  • Goes out by text and email. You choose when.

08

Booking source dashboard

Know which page, ad or search brought each new patient.

  • Every call, form and online booking tied back to where it started.
  • Call recordings, so you can hear how your front desk handles a new patient enquiry.
  • One screen you can read at a glance. No spreadsheets.

09

Hosting and updates

Your site stays online, current and compliant without you thinking about it.

  • Hosting, security and backups handled.
  • New practitioner, new fee, new treatment? Send a message. We change it.
  • Advertising rules change. When they do, we check your pages and fix what needs fixing.

Who this is for

Solo practitioner

One diary to fill, nobody covering the phone after hours, and every missed enquiry is one you personally lost.

Growing practice

Two to ten practitioners, a recent hire whose diary is not full yet, and a front desk already at capacity.

Multi-site group

Several locations, enquiries handled differently at each one, and no single view of where patients actually come from.

We work with private practices across Australia where patients choose their own provider. The system works the same way for clinics overseas, and the compliance layer is built around AHPRA and TGA.

Why this works when your last website did not

Your last website was a brochure. It looked professional. It did nothing when someone rang at 4:40 on a Thursday.

The difference is not the design. Every part of this system is wired to the next one. The Google-ready pages get you found. The site turns the visit into an enquiry. The text back answers it. The follow-up chases it. The recall campaigns bring old patients back. The dashboard shows which of those steps filled the chair.

Take any one of them away and the others leak. That is why we sell the system rather than the pieces, and why the price is one number.

Hover or tap a part to take it out of the chain.

What we will not promise

  • We will not promise you will rank number one. Nobody can, and anyone who does is guessing.
  • We will not promise patients on day one. The system needs a few weeks to warm up.
  • We will not promise results if nobody answers the phone or works the enquiry list. It is a system, not a substitute for a front desk.
  • We will not write anything that breaches AHPRA or TGA advertising rules, even if you ask us to. That includes patient outcome testimonials and before and after imagery that implies a clinical result.

What we will promise

  • A reply in under 60 seconds.

Every missed call and every after-hours enquiry. Logged, so you can check.

  • Compliance checked before it goes live.

Every page, ad and campaign we publish is reviewed against AHPRA and TGA advertising requirements before it is published, and again when the rules change.

How it works

  1. 1

    Practice review.

We show you where your practice is losing patients, then the system running on a real account with your practice on the screen. You ask the hard questions. If it is not for you, we will say so.

  2. 2

We build it. 10 to 15 working days.

You fill in a short form. We build the website, the intake, the follow-up, the recall campaigns and the dashboard, run the compliance check, then connect it all and test it.

  3. 3

    Launch call.

We walk your team through it and hand it over. From then on it is mostly reviewing what came in.

Full month-by-month timeline on the pricing page

The deal

  • No setup fee
  • No lock-in. Month to month.
  • No shared leads. Your enquiries are yours, never sold on or split with another clinic.
  • No hidden fees
  • You own the website, the accounts, the patient data and the reviews

Questions practice owners ask us

What does it cost?

One monthly fee for the whole system, on the pricing page. No setup fee. Accelerators are extra if you want them, and ad spend is paid straight to Google or Meta, never through us.

Are you AHPRA compliant?

Everything we publish is reviewed against AHPRA and TGA advertising requirements before it goes live. That review is a professional service, not legal advice, and it does not move responsibility off your registration. What it does mean is that we will not build you something we think would fail, and we will tell you before we build it rather than after.

Do you guarantee results?

No, and be careful of anyone who does. We guarantee two things: a reply in under 60 seconds on every missed call and after-hours enquiry, and a compliance review before anything is published. Patient numbers depend on your market, your capacity and whether your team works the enquiries.

What happens to our patient data?

It stays yours. It sits in your own system, we handle it only to run the services you have engaged us for, we never use it for our own marketing, and we return or delete it when an engagement ends. The privacy policy sets out the detail.

What is the catch?

The website only stays live while you are on the plan. It is a system you rent, with a site you own.

We already have a website. Do we need a new one?

Usually, yes. Most clinic websites are brochures, and a fair number of them carry copy that would not survive a complaint. Ours is wired into the intake, the follow-up, the recall and the dashboard. If yours is close, we will tell you.

We have been burned by an agency before.

Fair. So has most of our list. No contract, no setup fee, and you can see everything the system does in the dashboard. If it is not working, leave.

Do we have to do anything?

Answer the phone. Tell us when fees or practitioners change. Review the enquiries that come in. That is it.

Can we just buy the website?

No. A website on its own is how you ended up here. The system is the product.

See it running before you decide

Book a practice review. We will show you where your practice is losing patients, show you the system on a real account, and tell you straight if it is a fit.
